What we collect, how we use it, and what you control.

This Privacy Policy explains how Special Event Staff, LLC ("SES", "we", "us") collects, uses, and shares information when you use specialeventstaff.com and our related services (the "Service"). SES is a Dallas–Fort Worth event-staffing marketplace that connects event companies with independent staff. Last updated: June 28, 2026.

This page is a general template provided for transparency and should be reviewed by your own legal counsel before relying on it for compliance purposes.

1. Information we collect

Account information. Email, password, account type (worker or company), and the initials/acceptance you provide when agreeing to our Terms.

Worker profile. Name, photo, headline, city / ZIP, experience, certifications (e.g. TABC, ServSafe), availability, and pay preferences.

Company profile. Company name, logo, contact name/email/phone, legal name, EIN, business address, website, and subscription details.

Verification documents. For Verified Staff, a government-issued ID image. ID images are stored in a private storage bucket and are not publicly accessible. Only the uploading user and SES admins reviewing verification can access them, via short-lived signed URLs.

Listings & applications. Jobs you post, jobs you apply to, application status, and messages or notes attached to applications.

Usage data. Standard log information such as IP address, browser/device type, pages visited, and timestamps.

2. How we use information

  • Operate the marketplace — host profiles and job listings, process applications, and surface relevant matches in the DFW area.
  • Verify identity and eligibility for Verified Staff and Verified Company badges.
  • Connect workers and companies once a hiring decision is made.
  • Send transactional emails (sign-in confirmation, password reset, application updates, billing).
  • Maintain security, prevent fraud and abuse, and enforce our Terms.
  • Improve the Service and develop new features.

3. What is shared and with whom

Between users. Workers and companies see each other's relevant profile information needed to evaluate a match (e.g. worker headline, city, experience, certifications; company name, logo, job details).

Contact reveal on hire. Exact event address and direct contact details (phone / email) are revealed only after a company marks an applicant as "Hired" — and only between the company and that specific hired worker. Other applicants do not see private contact info.

Service providers. We use vetted vendors to host the Service, send emails, process payments, and provide analytics. They access information only as needed to perform their work.

Legal. We may disclose information if required by law, subpoena, or to protect the rights, safety, and property of SES, our users, or the public.

We do not sell personal information to third parties for advertising.

4. Cookies and analytics

We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. You can control cookies in your browser settings; disabling them may break sign-in and core features. We may use privacy-respecting analytics to aggregate usage trends — these don't identify individual users.

5. Data retention

We keep account, profile, listing, and application data for as long as your account is active and as needed to provide the Service. Verification documents are kept only as long as needed to support your Verified status and are removed shortly after a verification decision or account deletion. We may retain limited records (billing, security logs) for legitimate business or legal reasons.

6. Security

We use industry-standard safeguards — encrypted connections (HTTPS), encrypted storage at rest with our infrastructure provider, role-based access controls, and private storage for sensitive documents like government IDs. No system is perfectly secure; please use a strong, unique password and notify us promptly if you suspect unauthorized access to your account.

7. Your rights

You can view and edit most of your information directly in your profile or company dashboard. On request, you can:

  • Access a copy of the personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Delete your account and associated personal information, subject to limited legal/operational retention.
  • Withdraw consent for optional features (e.g. Verified Staff) at any time.

8. Children

The Service is intended for users 18 years and older. We don't knowingly collect personal information from anyone under 18. If you believe a minor has created an account, contact us and we'll remove it.

9. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected on this page with an updated "Last updated" date. Continued use of the Service after changes take effect constitutes acceptance.
